Get Your Visa File Checked Before You Apply: What a Document Review Actually Catches
Most refusals we read weren't caused by a missing document. They were caused by documents that disagreed with each other. That's the one thing you can't see in your own file — and it's what a proper review is for.

Ask anyone who has been refused a visitor visa what went wrong and you'll usually hear the same thing: "I don't know, I gave everything." Most of the time that's true. The file was full. The problem was what the papers said once an officer read them side by side.
That side-by-side reading is the step people skip. You know your own life, so a gap or a contradiction that jumps out at a stranger looks perfectly normal to you. This article walks through what a document review actually looks at, the problems it turns up most often, and how our Profile Validation Report works if you'd like us to do it for you.
Why a complete file can still be refused
Visa officers don't tick boxes. They read your file as a story — who you are, why you're going, who's paying and why you'll come back — and they look for the places where that story doesn't hold together. A file of fifty pages can fail on one line.
- The form says you earn ₹60,000 a month; the salary credits in your bank statement show ₹48,000.
- Your cover letter says two weeks; the leave letter from your employer says ten days.
- ₹4 lakh arrives in your account nine days before you apply, with no explanation anywhere in the file.
- You've declared no previous refusals, but an old passport shows a visa application you'd forgotten about.
None of these are missing documents. Every one of them is a contradiction, and contradictions are exactly what officers are trained to spot.
What a proper review checks
When we review a file we read it in the order an officer would, and we check each part against every other part. Broadly, six areas:
- 1 Disclosure and history — previous refusals, travel history and old passports, checked against what the form declares.
- 2 Funds — not just the closing balance, but where the money came from, when it arrived, and whether it matches your declared income.
- 3 Employment or business — whether the job letter, salary slips, ITRs and bank credits all describe the same job and the same income.
- 4 Purpose of the trip — whether the itinerary, invitation, bookings and dates make sense together.
- 5 Ties to India — family, property, business and commitments, and whether they're actually documented rather than just mentioned.
- 6 Consistency — names, spellings, addresses, dates and amounts compared across every page.
What a review can't do
It's worth being clear about this, because some people sell document checks as a way to "guarantee" a visa. Nobody can do that. Only the immigration authority decides, and two officers can read the same file differently.
A review also can't rescue a profile that genuinely isn't ready. If your funds can't support the trip or your ties to India are thin, a good report will say so plainly — and the honest advice may be to wait three to six months and build a record rather than apply now.
What a review can do is make sure nothing in your file has to be guessed at, and that you're not refused for a reason you could have fixed in an afternoon.
How our Profile Validation Report works
If you'd rather have someone else do this reading, it's exactly what our Profile Validation Report is for. It costs ₹1,499 for one applicant and one destination country, and the whole thing is done online.
- 1 You fill in a short form with your details, your destination and where you are — refused before, still preparing, or ready to submit.
- 2 You add your documents as PDFs. Each one is safety-checked on your own device before upload.
- 3 You pay ₹1,499 through Razorpay — UPI, card or net banking.
- 4 A consultant reads your file page by page and cross-checks it.
- 5 Within 48 hours you receive a written PDF report by email and WhatsApp, followed by a call to walk you through it.
The report gives a risk rating for each area of your profile, lists every problem we found with its exact fix, notes your strengths, includes a checklist of anything missing, and ends with a clear verdict: apply now, fix these first, or wait. There's a real four-page example, with the client's details blurred, on our sample report page.
Who it helps most
- Anyone reapplying after a refusal — especially if you're not sure what actually went wrong last time.
- First-time applicants, before spending on fees, biometrics and bookings.
- Self-employed applicants and business owners, whose income is spread across ITRs, GST returns and bank entries that rarely line up neatly.
- Families applying for parents, where the sponsor's documents matter as much as the applicant's.
- Anyone who prepared their own file and wants a second pair of eyes before pressing submit.
If you'd rather check it yourself
You can do a lot of this on your own. Lay your documents out in this order: passport, application form, purpose and itinerary, bank statements, income proof, ties to India, sponsor documents, cover letter. Then go through them with a pen and write down every name, date and amount as it appears on each page. Anywhere two pages disagree is something to fix or explain before you apply.
Our free document checklist and the Visa Profile Assessment are good starting points as well — the assessment scores your profile from your own answers in about six minutes, and the checklist shows what a complete file looks like for each country.
Common questions
How long does the Profile Validation Report take?
Usually within 48 hours of receiving your complete documents. If something important is missing, we message you straight away instead of waiting.
Is ₹1,499 per person?
Yes — it covers one applicant for one destination country. For a couple or a family applying together, WhatsApp us and we'll quote for the whole file.
What happens to my documents afterwards?
They're stored privately for the review and deleted from our website server automatically within 72 hours of upload.
Will a real person read my file?
Yes. A consultant reads your whole file, writes the report, and then calls you to go through it.
Does a good report mean my visa will be approved?
No. The report tells you honestly how your file is likely to be read and what to fix. The decision always rests with the immigration authority.
