Self-Employed or Business Owner? How to Document Your Visitor Visa File

Salaried applicants have a leave letter. Business owners have to build the same reassurance out of registration, income and continuity documents.

  1. Prove the business is real
  2. Prove it earns
  3. Prove it continues without you

Officers reading a self-employed file are asking two things: is this business real and earning, and who runs it while you are away? Every document below answers one of those.

Prove the business is real

  • Registration documents — shop and establishment certificate, partnership deed, incorporation certificate, or Udyam registration.
  • GST registration and recent returns, where applicable.
  • Business PAN and current account statements for six months.
  • Trade licence, professional certificates, or clinic or firm registration for professionals.
  • Photographs of premises, signage, or a website and business cards as supporting context.

Prove it earns

  • Income tax returns with computation for two to three years.
  • Audited accounts or a CA-certified statement of income.
  • Major client invoices or contracts, for freelancers and consultants.
  • Personal bank statements showing regular business withdrawals or drawings.

Prove it continues without you

  1. 1 A short letter on business letterhead stating your travel dates and who manages operations in your absence.
  2. 2 The name and role of the person in charge — partner, manager, family member.
  3. 3 Staff details or payroll evidence, if you have employees.
  4. 4 Any ongoing orders, leases or commitments that require your return.
Good to know Never write your own letter as if issued by a neutral employer if you are the sole proprietor. Sign it as the proprietor and be transparent about the structure.

Common questions

My business income is seasonal — is that a problem?

No, provided you explain the pattern and your returns and statements reflect it consistently.

I file ITR but my turnover is small. Should I still apply?

Yes. Scale is not the test; consistency between declared income, bank activity and the trip's cost is.

Can I show cash income?

Only if it is reflected in your banking and tax records. Undeclared cash cannot be used to prove funds.

Good to know General guidance only. Requirements vary by country and case.
