Invitation Letter for a Visitor Visa: What It Must Say (With Structure)

An invitation letter is evidence, not a formality. It should answer who, why, when, where and who pays — and be backed by documents.

When you are visiting family or friends, the invitation letter is often the document that sets the whole context of your application. Officers read it against your form, your funds and your itinerary. Contradictions between them are a frequent cause of refusal.

What the letter should contain

  1. 1 The inviter's full name, address, phone number and immigration status in that country.
  2. 2 Your full name, passport number, date of birth and relationship to them.
  3. 3 The purpose of the visit and the exact dates.
  4. 4 Where you will stay, and whether that is their home or a hotel.
  5. 5 Who pays for what — flights, stay, daily costs.
  6. 6 A statement that you will return to India at the end of the visit.
  7. 7 Their signature and the date.

What to attach with it

  • Copy of the inviter's passport, PR card, work permit, study permit or citizenship certificate.
  • Proof of their address — a utility bill, tenancy agreement or property document.
  • Their financial documents, if they are funding any part of the trip.
  • Relationship proof: birth certificates, marriage certificate, family photographs across years, or long-running communication.
Good to know For some countries a specific form replaces or accompanies the letter — Australia's Sponsored Family stream and certain formal invitation systems are examples. Check your destination's process before drafting.

Common mistakes

  • Dates in the letter that differ from the visa application or itinerary.
  • A letter that promises to "take full responsibility" but no financial documents to support it.
  • Overly emotional language and no factual detail.
  • A distant relationship described as close, with nothing to prove it.
  • A template downloaded and pasted with names swapped — officers recognise them.

Common questions

Does the invitation letter need to be notarised?

Usually not for visitor visas, unless your destination specifically asks. Accuracy and supporting documents matter more than a stamp.

Can a friend invite me instead of family?

Yes, but expect closer scrutiny. Show how you know each other and for how long.

Does an invitation guarantee a visa?

No. It provides context; the decision still rests on your own circumstances and ties to India.

Good to know General guidance only. Verify current requirements with the relevant immigration authority.
